Beginners Guide to Events
Who
Posts Events?
> Events are posted by Members
designated as Event Organizers who have received instructions in our policies
and procedures. The Outings Coordinator
owns the criteria and generally makes the designations.
> The majority of the
events on the calendar are initiated, planned, and led by the individual Event
Organizers. A few, such as the Christmas
Party or the June and September picnics, are planned by a Board sponsored
committee and supported directly by Membership dues. Some are hybrid, such as the group campouts in
the spring, summer and fall.
> Please consider becoming an Event Organizer. It’s free and easy. Contact any one of the Organizers whose name
appears on the Meetup left column.
Who Finances Events
> It is Berg policy that the common costs of an event be
shared fairly among the participants without flowing through the club treasury
(operating or trip fund), with the exception of activities brought before the
Board, such as those described above or below, when the use of club funds has
been approved. This is consistent with
our overall philosophy of encouraging and supporting development of each individual’s
skills for self reliance in outdoor activities.
[There is also a revolving fund
that may be tapped for a loan for making long lead time reservations for
accommodations and the like. The Board
is working on the general criteria for its use.]
> Additionally, the Board invites Members to be an Organizer
of mass-appeal, outdoor events and to apply for funds to subsidize the common
shared expenses of such an event. The
event needs to be cheap or free to individual participants and cost the Club
only a modest amount. Examples are the
cost of a group campsite, the payment for a picnic shelter on a weekend at a
location where there are a variety of opportunities
for outdoor recreation, or a camping trip to the beach. Non Event Organizer Members may enlist the
assistance of any Event Organizer.
Safety Responsibility
> Outdoor activities (including hiking, camping, rafting,
kayaking, swimming, biking, and others) are understood to involve inherent
risks. It is your responsibility as a Guest, a Member, or a guest of a Member,
to observe all appropriate safety measures during any and all activities
concerning the group. By participating
in this voluntary group, you expressly waive any and all claims that may arise
from any of the activities planned, to include travel to and from and during
the trip, and to understand that neither the Event Organizer, assistants, or
the Club assume liability for personal injuries, death, or destruction or loss
of personal property. By participating
in the group, you expressly waive any and all such claims against each and
every other member in the group, including without limitation any and all
claims against any group Organizers.
